Welcome to Report Card Wording. By using our website at reportcardwording.com (the “Service”), you agree to these Terms of Service. If you don’t agree, please don’t use the Service.

1. What the Service is

Report Card Wording is a free online tool that helps educators turn their honest observations about students into professional, parent-ready report card comments. The Service generates wording suggestions based on your input and selected options. The Service is provided free of charge.

2. Who may use the Service

The Service is intended for educators and adults. You must be at least 13 years old (or the minimum age required to use online services in your jurisdiction) to use the Service. The Service is not directed at children under 13, and we do not knowingly collect personal information from them (see our Privacy Policy).

3. Professional wording, not legal compliance

The comments generated by Report Card Wording are professional wording aligned with common district practices. They are NOT a legal compliance guarantee. Report Card Wording does not guarantee that any comment will satisfy your specific school, district, state, or legal requirements. Report cards are professional and, in some contexts, legal documents. You are responsible for reviewing any generated comment and ensuring it meets your school’s policies, your district’s requirements, and applicable law before use.

4. Your responsibilities

  • Review before use. You are responsible for any comment you actually send. Read it. Make sure it’s accurate and appropriate for your student and context.
  • Follow your school’s policies. You are responsible for complying with your school’s and district’s rules regarding student records and communications (including FERPA, where applicable).
  • Do not enter student PII. Do not put a student’s name or other identifying information into the tool. Use a placeholder instead. (See Privacy Policy.)
  • Use lawfully. Don’t use the Service to harass, defame, or discriminate against any student or family.

5. Intellectual property

  • Generated comments. Report card comments you generate belong to you to use in your professional work. The Service grants you a license to use generated comments for your teaching purposes.
  • Site content. The Report Card Wording website, its text, examples, articles, and design are owned by Report Card Wording and protected by applicable law. You may not copy, redistribute, or republish site content without permission, except to use generated comments as described above.
  • Wording structure. The structured wording system is our own. The specific comment phrasing in the tool is original to Report Card Wording, aligned with common district practices but not copied from any single district’s materials.

6. The Service is provided “as is”

The Service is provided on an “as is” and “as available” basis. To the extent permitted by law, Report Card Wording disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not guarantee the Service will be uninterrupted, error-free, or that any generated comment will meet your specific needs.

7. Limitation of liability

To the maximum extent permitted by law, Report Card Wording shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service — including, but not limited to, any harm arising from a comment you send to a parent or include in a report card. You use generated comments at your own risk and professional judgment.

8. Third-party services

The Service uses third-party services (such as a language model API for the polishing step, and, when added, advertising partners). These third parties have their own terms and privacy practices. We are not responsible for their practices.

9. Changes to the Service and Terms

We may modify or discontinue the Service at any time. We may update these Terms; updated Terms take effect when posted on this page with a new “Last updated” date. Your continued use after changes means you accept the updated Terms.

10. Governing law

These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-law principles.
