Privacy Policy

This Privacy Policy explains how Report Card Wording (“we,” “us,” or “our”) handles information when you use our website at reportcardwording.com (the “Service”). We built Report Card Wording for teachers, and we designed it to collect as little as possible — because the last thing a teacher writing report card comments needs is another privacy worry.

What we do NOT collect

We want to be explicit about this, because it matters in a school setting:

  • We do not collect student information. Report Card Wording never asks for student names, IDs, photos, or any personally identifiable information (PII) about students. You do not need to enter a student’s name to use the tool — use a placeholder like “[Student]” and fill it in yourself.
  • We do not require an account. There is no login, no profile, and no way for us to link your activity to your identity.
  • We do not track you across the web. MVP-1 does not use advertising cookies, tracking pixels, or cross-site analytics. (If we add analytics later, this policy will be updated first.)

What you type is used to generate your comment, then it’s gone

When you enter an observation into the tool, that text is used to generate your report card comment and is not stored in a way that ties it to you. Specifically:

  • Your input text is sent to our backend to generate the comment, and is not persisted in a database tied to you.
  • Your selections (grade, subject, behavior type, tone) may be aggregated anonymously — for example, to understand which tone teachers use most — so we can improve the tool. This aggregate data cannot be linked back to you or your input.
  • Your IP address is used only for rate-limiting (preventing abuse) and is not stored long-term.

Third-party processing

To generate comments, your input is processed by a third-party language model API (DeepSeek). This means your input text is transmitted to that provider for the polishing step. We select providers with privacy-respecting practices, and we recommend you avoid entering any information that could identify a student. Do not put a student’s real name or other PII into the tool.

Advertising (when added)

MVP-1 does not display ads. When we add advertising (e.g., Google AdSense), ad partners may use cookies to serve relevant ads. We will update this policy before launching ads, and you will be able to manage ad-related cookies through your browser settings. Ad partners are separate controllers of any data they collect.

Children’s privacy (COPPA)

Report Card Wording is a tool for educators, not for students or children under 13. We do not knowingly collect information from children under 13. Because we do not collect personal information at all (see above), the tool can be used by teachers without implicating student data. If you believe a child has provided us personal information, contact us and we will delete it.

Educational records (FERPA note)

Report Card Wording is not a school-affiliated service and does not access or maintain student education records. Teachers using the tool are responsible for following their school’s policies on student data. We help by never asking for student PII — but the decision of what to enter is yours.

Cookies

MVP-1 uses only essential cookies required for the site to function (if any). We do not use advertising, analytics, or tracking cookies in MVP-1. If we add them later, we will update this policy and provide a way to manage them.

Data retention

  • Input text: not persisted (used for generation, then discarded).
  • Aggregate, anonymous usage statistics: retained to improve the tool, not linked to you.
  • IP for rate-limiting: short-term only, not persisted.

Your rights

Because we do not maintain accounts or personal profiles, there is no personal data about you to access, correct, or delete. If you have a concern, contact us. For aggregate anonymous data, it cannot be linked to you individually.

Changes to this policy

We may update this Privacy Policy. We will post the updated version on this page with a new “Last updated” date. Material changes will be noted.
